Clarimind Terms and Conditions

1. About these terms

These terms govern your use of Clarimind, a product of Resonant Technology Limited trading as Restech (“Restech”, “Clarimind”, “we”, “us” or “our”). Resonant Technology Limited is registered in England and Wales under company number 16868776, with its registered office at Unit 16 Boarshurst Lane, Greenfield, Oldham, England, OL3 7ER.

By creating an account, using Clarimind or placing an order, you agree to these terms. Our Privacy Notice, Refund Policy and Cancellation Policy also apply. If you use Clarimind for an organisation, you confirm that you are authorised to bind it.

2. Eligibility and accounts

You must be at least 18 and legally able to enter a contract. Information supplied during registration and billing must be accurate and kept up to date. You are responsible for protecting your credentials and for activity carried out through your account, except to the extent caused by our failure to use reasonable care.

Tell us promptly at sales@clarimind.io if you suspect unauthorised access. We may require email verification, human-verification, reauthentication or other proportionate security checks.

3. The Clarimind service

Clarimind turns text and recorded speech into editable visual graphs. Depending on your package and role, it may also provide workspaces, collaboration, sharing, exports, history, attachments, billing controls and other published features. Adults may separately enable Reflection, which changes what the graph system listens for when mapping material the user deliberately submits.

Features marked experimental, preview, disabled or “coming soon” are not part of the purchased service unless we expressly say otherwise. We may improve, replace or remove non-essential functionality, but will not deliberately remove the core paid service during a paid period without a reasonable alternative or appropriate remedy.

4. Your content

You retain your rights in content you submit. You give us a worldwide, non-exclusive licence to host, copy, transmit, process, display, modify technically and back up that content only as needed to provide, secure, support and improve the reliability of Clarimind, comply with law and enforce these terms. This licence ends when the content is deleted from our systems, subject to backup cycles, legal holds and records we must retain.

You confirm that you have the rights and permissions needed to submit and share your content. You are responsible for deciding what to include, who can access it and whether it is suitable for a public link.

As between you and us, and to the extent permitted by law, you own AI output generated specifically from your content. AI output may not be unique and another user may receive similar output.

5. AI-generated results

Clarimind uses probabilistic AI systems. Transcripts, entities, relationships, labels and other generated results may be incomplete, inaccurate or unsuitable. You must review and correct important results before relying on, publishing or acting on them.

Clarimind is a visual thinking tool, not a medical, mental-health, legal, financial, safety, engineering-certification or other regulated professional service. It does not replace qualified advice or your own judgement. Do not use it as the sole basis for decisions that could materially affect a person’s rights, health, safety, employment, credit or access to essential services.

Reflection is an optional visual-reflection mode, not a psychological or psychiatric assessment. It may propose tentative links between events, thoughts, feelings, bodily responses, actions and consequences, but it cannot know your inner life independently of the material you provide. It does not diagnose, provide therapy, monitor crisis risk, determine emotion from vocal tone or establish that an inferred pattern is true. You remain responsible for reviewing, correcting, sharing or deleting the resulting map and for seeking an appropriate qualified or emergency service when needed.

6. Acceptable use

You must not use Clarimind to:

  • break the law, infringe rights or assist fraud, abuse or deception;
  • upload malware, probe or bypass security, interfere with availability, scrape at unreasonable scale or access another account or workspace without authority;
  • submit content you do not have the right to use, or disclose another person’s confidential or personal information without an appropriate basis;
  • process payment-card details, clinical records or data subject to sector-specific security duties unless we have agreed that use in writing;
  • create or distribute unlawful, threatening or exploitative content; or
  • resell, reverse engineer or use the service to build a competing model or service except where law expressly prevents that restriction.

You must also comply with reasonable provider policies that apply to the AI, payment, identity and security services used by Clarimind.

7. Workspaces, roles and public links

Workspace owners and administrators control membership, roles, billing and sharing within their authority. Members must follow the organisation’s own rules. A public canvas link can be viewed by anyone who obtains it, so do not use public sharing for confidential or sensitive content. An authorised workspace member can revoke a public link.

If you lose access to an organisation-managed workspace, the organisation may continue to control content held in that workspace. Export or copy personal material before leaving where the service and your permissions allow it.

8. Packages, payments and RSV

Current package features, monthly price, billing interval, included RSV allowance and any one-time reserve option are shown before purchase. Stripe processes payment. You authorise recurring charges for a monthly subscription until it is cancelled.

RSV is Clarimind’s service-usage unit. It is not money, stored value, cryptocurrency or transferable property and has no independent cash value. Actual consumption varies with the model, context, transcription, output and complexity of the work.

  • The package allowance is used before purchased reserve and refreshes at the applicable monthly period boundary. Unused package allowance does not carry forward.
  • Purchased reserve carries forward, is consumed after package allowance and remains subject to the account, service and refund rules.
  • Within each allowance or reserve bucket, eligible value is consumed oldest first.
  • We reserve usage before AI work begins and settle it against completed provider usage. Failed or rejected work is released or corrected in accordance with the service ledger.

Prices and any applicable taxes or charges are displayed at Checkout. Currency conversion or card-issuer charges are your provider’s responsibility.

9. Package changes, cancellation and refunds

A package change may take effect immediately or at a provider-confirmed billing boundary, as shown during the action. A paid subscription can be scheduled to cancel at the end of its current paid period from Billing. Details are in the Cancellation Policy.

Cancellation does not automatically create a refund. Refunds, including our first-purchase goodwill policy and exact-order reserve treatment, are described in the Refund Policy. Nothing in these terms limits mandatory consumer rights.

10. Availability and support

We aim to provide a reliable service but do not promise uninterrupted or error-free availability. Maintenance, provider incidents, security events, capacity limits and circumstances outside reasonable control may affect access. We will take reasonable steps to restore service and communicate a material incident where appropriate.

Support is provided through the channels and response targets published for your package. Unless expressly agreed in writing, no guaranteed service level or recovery time applies.

11. Suspension and termination

We may restrict or suspend access where reasonably necessary to address non-payment, a security risk, unlawful use, material breach, provider restriction or harm to Clarimind or others. Where practical, we will give notice and an opportunity to remedy the issue.

We may terminate an account for a serious or repeated breach, fraud, unlawful activity or where we are legally required to do so. You can ask to close your account by contacting us. Subscription cancellation and account deletion are separate actions. We may retain restricted records where law, fraud prevention, payment disputes or legal claims require it.

12. Intellectual property in Clarimind

Clarimind, its software, design, branding and documentation belong to us or our licensors. We give you a limited, non-exclusive, non-transferable, revocable right to use the service while your account is authorised and these terms are followed. No other rights are transferred.

13. Liability

Nothing in these terms excludes or limits liability that cannot lawfully be excluded, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or your mandatory consumer rights.

If you are a consumer, we are responsible for foreseeable loss caused by our breach of these terms or failure to use reasonable care, but not for loss that was not foreseeable, business loss, or loss caused by your failure to follow reasonable instructions or keep suitable copies of important exported material.

If you use Clarimind wholly or mainly for business, then to the maximum extent permitted by law we are not liable for indirect or consequential loss, loss of profit, revenue, business, goodwill or anticipated savings. Our total aggregate liability arising from the service in any 12-month period is limited to the fees paid for the affected workspace during that period. This cap does not apply where liability cannot lawfully be limited.

14. Changes to these terms

We may update these terms for legal, security, provider or service changes. The version and effective date identify the current terms. We will give reasonable notice of a material adverse change. If you do not accept it, you may stop using Clarimind and cancel a paid subscription before the change takes effect.

15. Governing law

These terms are governed by the law of England and Wales. The courts of England and Wales have jurisdiction, except that a consumer may also have the right to bring proceedings in the part of the UK or country where they live. Mandatory protections under the law of your usual residence are not displaced by this section.

Anonymous statistics On

Clarimind counts public page views, broad interactions, campaign codes and performance bands in minute-level totals. It does not create a visitor ID, keep an event trail, inspect canvas content, or send this information to an analytics provider.

The only statistics cookie is a shared campaign code after you follow a Clarimind campaign link. If you switch statistics off, Clarimind stores only that choice in this browser.
