Clarimind Refund Policy

1. Scope

This policy explains how Resonant Technology Limited trading as Restech handles refund requests for Clarimind self-service subscriptions and one-time RSV reserve purchases. It applies in addition to any mandatory consumer rights. If applicable law gives you a more favourable remedy, that law prevails.

A refund is assessed against the particular Stripe order and Clarimind entitlement funded by that order. It is not calculated from the workspace’s overall account balance.

2. How to request a refund

Email sales@clarimind.io from the address associated with your Clarimind account. Include:

  • your workspace name;
  • the Stripe receipt, invoice or order reference;
  • the purchase you want reviewed; and
  • a short reason for the request.

We may verify the requester’s identity and workspace authority. Refunds are reviewed and submitted by an authorised Clarimind operator; there is no automatic self-service refund button.

3. First paid subscription goodwill policy

In addition to mandatory rights, we offer the following goodwill policy for a workspace’s first paid Clarimind subscription order:

  • the request must be made within 14 days of that first purchase;
  • if no more than 100 RSV has been consumed from the package allowance funded by that order, the order is eligible for a full refund;
  • after 100 RSV has been consumed, the eligible refund declines continuously and proportionally from 100% at 100 RSV to 0% when that order’s complete package allowance has been consumed; and
  • the result is rounded to the nearest penny in the customer’s favour.

For example, the calculation considers only consumption attributed to the first subscription order’s exact allowance. Usage taken from another order, a later period or a separately purchased reserve lot is not used to reduce this goodwill calculation.

Subscription renewals are not covered by this goodwill offer. They remain subject to mandatory rights and correction of duplicate, unauthorised or otherwise erroneous charges.

4. One-time RSV reserve purchases

A request made within 14 days of a one-time reserve purchase may receive a refund for the unspent and unencumbered proportion of the exact reserve lot funded by that order. The calculation never substitutes credits purchased in another order.

If the entire reserve grant is still unspent and unencumbered, the order may receive a full refund. If some has been used or reserved for accepted work, only the remaining eligible proportion can be refunded under this goodwill policy. The result is rounded to the nearest penny in the customer’s favour.

5. How usage affects a refund

Clarimind always consumes the current package allowance before purchased reserve. Within each bucket, eligible value is consumed oldest first. Usage and refund evidence is tied to immutable ledger allocations so a refund can remove value only from the order that funded it.

A successful refund reverses the corresponding unused Clarimind value. Work already accepted and processed is not undone. If refunded value has already been consumed, the resulting shortfall is recorded against that exact order rather than removed from another purchase.

6. Effect of a subscription refund

A successful refund of the first paid subscription order ends the paid entitlement funded by that order and stops its renewal. The workspace may return to the Free package. Existing canvas content remains available subject to the Free package and account rules, but paid AI access and unused package allowance may end.

A refund or payment dispute does not otherwise cancel an unrelated subscription or order. Subscription cancellation is a separate action described in our Cancellation Policy.

7. Duplicate, unauthorised or incorrect charges

Contact us promptly if you believe a payment was duplicated, unauthorised or charged incorrectly. We will investigate the exact Stripe payment and local order evidence. This section is not limited by the goodwill thresholds above.

8. Processing and payment method

Approved refunds are submitted through Stripe to the original payment method. Stripe and your payment provider control when the funds appear. Currency conversion, exchange-rate movements and external bank or card charges are outside our control.

We will not issue a refund to a different card, bank account or person. We may pause a refund while a chargeback, dispute or provider investigation concerning the same payment is active so that the payment is not reversed twice.

9. Mandatory rights

Nothing in this policy limits rights that cannot lawfully be excluded, including rights relating to services not supplied with reasonable care and skill, services that do not match their description, or applicable distance-contract cancellation rights. Consumer rights can depend on your location, when supply began and how much of the service was supplied. Contact us and we will assess those rights separately from the goodwill policy.
